BatchIQ is traceability and compliance software for food producers, operated by Kupriq, a Bellberry Estate Ltd company. This policy explains what we collect, why, and the choices you have. The short version: we do not sell your data, we do not mine it, and we only look at it when you ask us to help.
Account data — your name, email and company details, used to run your account and contact you. Authentication is handled by Clerk; we never see your password.
Your production records — the products, recipes, ingredients, supplier lots, batches, bulk bins, pack runs, dispatches, customers, temperature readings, HACCP and CCP records, verification records, complaints, corrective actions, recall exercises, staff records, training and inductions you create. This is your data; we store and process it only to provide the service to you.
Records about people — BatchIQ holds names of your staff against training records, inductions and the entries they made, and names and contact details for your suppliers and customers. Those are real people, so the rest of this policy applies to them as much as to you.
Temperature probe readings — where you fit an ESP32 probe, the readings it reports and the time each arrived. A probe measures a fridge, not a person.
Billing details — your subscription status and Stripe's identifiers for it. Card payments are handled entirely by Stripe; we never see or store card numbers.
Support messages — what you send us through the message button or by email, so we can answer it.
To provide and maintain the service, respond to support requests, keep the product secure, take payment, and meet legal obligations. We do not sell your data, share it with advertisers, or use it for advertising, profiling or training any model.
We look at the contents of your account only when you ask us to help with something, or where we genuinely have to in order to fix a fault or investigate misuse.
We rely on a small set of providers to run BatchIQ:
Your data is held in the United States. If you would rather it were not, tell us before you sign up rather than after.
The demo at app.batchiq.nz uses published credentials and made-up data for a fictional producer. It is shared with everyone trying it and rebuilt from scratch every night, so anything entered there is deleted within a day and may be seen by other people in the meantime. Do not put real business or personal information into the demo.
We are notified when somebody signs in to the demo, and we record the date and the fact of the visit so we know the product is being looked at.
The business holding the account decides what goes into it and can see those records. Under the Privacy Act 2020 you are entitled to know what is held about you and to ask for a copy. Ask that business first, since it is their account and their records — if you cannot resolve it that way, contact us and we will help.
If you use BatchIQ to hold information about your staff, suppliers or customers, you are the one responsible for telling them what you collect and why, and for meeting your obligations to them under the Privacy Act 2020.
We keep your records while your account is active, and we do not delete anything automatically when an account lapses. Food safety records must be retained for years under a Food Control Plan, National Programme or RMP, so an automatic purge could destroy evidence you were obliged to keep. If an account goes quiet we flag it for a person and get in touch.
Encrypted backups are kept for 30 days and then deleted, so a copy of deleted data can persist in them until then. Backups are restored only to recover from a failure, never to bring back a deleted account.

You can export your records yourself, as CSV, from the Export screen — signed in, at any time, including while an account is read-only. Auditors can export too; that is the point of the role.
For a complete copy of everything, ask us by email. We check that the request comes from somebody with authority to make it before we send anything, because a full export contains every supplier, customer and dispatch a business has — exactly what a departing employee would want and exactly what the business would not want them to have. Every full export we generate is logged: who asked, when, and how much was included.
Data is encrypted in transit. Each business's data is separated at the database layer so one customer cannot see another's, and access within a business is controlled by the roles you assign. Backups are held off-site with a different provider from the one hosting the database, so one provider failing does not take both.
You can access, correct, export or delete your data — email us and we will help. Depending on where you live you may have additional rights under local privacy law. If you are in New Zealand and unhappy with how we have handled a privacy issue, you can complain to the Office of the Privacy Commissioner.
If we change this policy in a way that materially affects you, we will tell you rather than quietly updating the date at the top.
